The employee profile in KEBS is the central hub for all information about an employee. It brings together personal details, organization structure, project assignments, time and leave settings, documents, and cost data into a single view. This guide walks you through each section of the profile and explains how it connects to Resource Management (RMG), Timesheet, and Finance.
Accessing the Employee Profile
Access your complete employee profile from anywhere in KEBS and enable enhanced features by linking your Microsoft O365 account.
Navigate to HR > Profile > Overview using the breadcrumb path, or click My Profile from the Employee Directory sidebar. When you first open the profile, you may see an O365 login prompt.
O365 Login Prompt
Some features in the employee profile require authentication with your organization’s Microsoft O365 account. When this prompt appears, you have two options:
- Login with O365: Click this button to authenticate with your Microsoft account. This enables enhanced features such as calendar sync, email integration, and document collaboration.
- Cancel: Click this button to skip the O365 login and continue using the application with standard features. You can always log in with O365 later.
Profile Overview and Navigation
Get a complete snapshot of any employee at a glance, including their identity, department, employment type, tenure, and current status, all from one page.
The employee profile is structured around an Overview tab at the top, with a header card summarizing key information and a right sidebar for navigating between profile sections.
Header Card
The header card at the top of the profile displays a quick summary of the employee:

| Employment Type | Type of employment (e.g., Permanent, Vendor Contract). |
| Location | Work location (e.g., Chennai, Bengaluru). |
| Years In KEBS Experience | Total tenure with the organization (e.g., 11 Years 8 Months). |
| Status | Current employment status shown as a green “Active” badge or other status indicators. |
Personal Details Tabs
Below the header card, the Personal Details section is organized into horizontal tabs:

Right Sidebar Navigation
The right sidebar provides quick access to all major sections of the employee profile. Click any item to jump directly to that section:
Organisation Section
Understand exactly where an employee sits in the organization hierarchy, including their entity, division, department, job title, and cost center, all of which drive project allocation and financial reporting.
Click Organisation in the right sidebar to view the employee’s organizational placement. This section has two sub-tabs: Org Details and Managerial Details.
Current Organisation Details

Organisation Details History
Below the current details, a history table tracks all organizational changes over time. Each row records the start date, end date, entity, division, and sub-division for that period. This gives a complete audit trail of transfers, promotions, and restructuring.
How This Connects to Other Modules
- Resource Management (RMG): The entity, division, and department fields determine which resource pool the employee belongs to and how they appear in the People Allocation Gantt.
- Finance: The Cost Center field drives where the employee’s costs are allocated in financial reports and project budgeting.
- Projects: The work location and division influence project assignment eligibility and regional reporting.
Project Details
See every project an employee is assigned to, with start/end dates, industry type, and cost center, giving managers and resource planners a clear picture of current workload.
Click Project Details in the right sidebar to view the employee’s project assignments. This section displays a table of all projects the employee is currently assigned to or has been assigned to in the past.

How This Connects to Other Modules
- Resource Management (RMG): Project assignments originate from the RMG module. When a resource manager allocates an employee to a project, it appears here automatically.
- Timesheet: Project assignments determine which projects the employee can log time against in the Timesheet module. Only assigned projects appear in the timesheet dropdown.
- Finance: The cost center and project type drive how the employee’s time is billed and how revenue is recognized in the Finance module.
Time & Leaves
Understand the employee’s work hours, schedule, holiday calendar, and timesheet configuration, all of which directly feed into the Timesheet module for accurate time tracking and billing.
Click Time & Leaves in the right sidebar. This section has two sub-tabs: Time Details and Leave Details.
Time Details Fields

| Work Schedule | The weekly work pattern (e.g., Monday To Friday). Determines which days appear in the timesheet. |
| Holiday Calendar | The holiday calendar assigned to this employee (e.g., IND/WFH). Holidays are automatically excluded from timesheet calculations. |
| Work Location | The employee’s designated work location (e.g., Chennai). |
| Work Classification | Whether the employee is in a Delivery, Support, Sales, or other role classification. |
Timesheet Configuration Fields

How This Connects to Other Modules
- Timesheet: Daily Hours, Monthly Hours, and Work Schedule directly control the employee’s timesheet structure. The holiday calendar determines which days are non-working.
- Resource Management (RMG): Project Available Hours feeds into capacity planning. RMG uses this to calculate how many hours an employee can be allocated across projects.
- Finance: Monthly Hours and Project Available Hours are used in billing calculations, utilization reporting, and revenue recognition.
Additional Profile Sections
Maintain a complete employee record with background checks, uploaded documents, and cost information, all accessible from the same profile page.
Background Verification
This section tracks the status of background checks for the employee. HR administrators can record verification status, dates, and any notes related to the screening process. This is especially important for compliance in regulated industries.
Documents
The Documents section serves as a repository for all employee-related files. Upload and manage items such as:
- Offer letters and employment contracts
- Identity documents and address proofs
- Educational certificates and transcripts
- Professional certifications
- Performance reviews and appraisal letters
Cost Details
The Cost Details section stores financial information related to the employee. This data connects directly to the Finance module and is used for:
- Project costing: Calculating the cost of an employee’s time on a project.
- Utilization reports: Comparing billable revenue against employee costs.
- Budget planning: Forecasting department and project budgets based on resource costs.
- Profitability analysis: Measuring project margins by comparing revenue to resource costs.
